Follow-ups for Partially Paid Invoices

A few weeks ago, we introduced the standalone Partial and Paid requirements. We’ve enhanced it further by adding logic to help you better manage follow-ups when invoices are partially paid but not fully settled. This is perfect for collecting final payments after a deposit has been made!

  1. Set your follow-up to send when it has been partially paid, but not fully paid. See below:

Enhanced Follow-Up Status Tracking on Estimates and Invoices

You can now easily view the status of your follow-ups from the sidebar menu on an estimate or invoice. Each follow-up will indicate if it is scheduled to send, has been sent, or is not applicable to send.

Search Contacts by Address

We've enhanced our search functionality! You can now effortlessly find contacts on the People tab or an estimate by searching for them using their address.

Auto Follow-ups for Partial and Fully Paid Invoices

Previously, we only had the Responded option, which included both Partial and Paid statuses. With the introduction of the standalone Partial and Paid requirements, you can now send auto follow-ups for invoices that:

  • Have not received any payments yet

  • Have received a payment but are not fully paid

We added an option for how invoices are created in Quickbooks -- when the PaintScout invoice status has changed to paid.

Highlight and Change Text Color on Description Fields

Exciting news! You can further customize the text in description boxes by changing its color or highlighting it. Simply click the 'A' to select a new color, and use the 'Pencil icon' to highlight text in a different color.

Custom Area Names will Autofill

If you type an area name and it does not pop up, click the 'Create Custom Area' button and your name will remain auto-filled in the field so you don't have to type it in again!*

*It will not save to your settings. But if you use the name a lot, we suggest adding it to your Area Names list!

New Payment Method: Financing

You can now select Financing as a method of payment when manually recording payments on your invoice.

Switch to SQFT / LNFT Button

We've gotten tons of feedback from users about wanting the ability to easily enter the direct square footage or linear footage of a surface, rather than adjusting the length, width, or height. We decided to add a little 🔄 "Switch" button so you can easily change between SQFT/LNFT and L/W/H on a surface's dimensions.

New 'Last Year' Date Preset on Dashboard

You can now easily filter Last Year's date range on the dashboard.

Link to Stripe Payment from PaintScout

Curious about one of your Stripe payments listed on your PaintScout invoice? You can visit the Stripe payment directly from the payment in PaintScout. Just open up the payment, and select the View this payment in Stripe button!

Add expiration date after it's been disabled

If you have disabled the expiration date on an estimate, fear not! You can easily add it back in by clicking the Estimate's date > Enable Estimate Expiry > Set Estimate Expiry Date

View-Only accounts can now add crew notes

View-only users can now add crew notes to the area, surface, and the top of the work order!

Marking Payment Requests as Paid

We updated our Payment Request feature! You can now manually mark a payment request as paid. No need to delete the request anymore! 👏

Click the 3 dots to the right of the payment request and select Mark as Paid.

Area Design Improvement

We've decided to spruce up the Edit Area dialog, enhancing its appearance and functionality to provide a more intuitive and enjoyable user experience!

What's changed?

  • Larger Edit button - use this to change the name and dimensions of the room!

  • Clearer display of the total Area Price & Hours

  • Moved the Notes section to the button of the area

Customer Approved Options

With PaintScout’s new feature, Customer Accepted Options, your customers will actively participate in shaping their painting project by choosing from a selection of add-ons that you’ve provided.

Curious how it works?

After receiving the estimate, customers can view available selections in the Options section below the estimate's total. They click the +Add Option button to include their selection in the estimate before approval.

The options will show in a separate Options Added section. Your customer is now ready to accept the estimate, with their options included!

Go to your Estimate Settings to enable this feature.

Workglue Integration Update

  • Labor prices of areas will now transfer over to Workglue. Previously, it only broke down Materials with prices and Areas with hours.

  • If the total price of an area is different than all the items added up (sub-total or group adjustment), an "Adjustment" will be added to Workglue to show the difference.

Option to hide surface label

  • We've gotten some feedback from users that they would like to hide the surface (production rate) client label. We've created a back-end setting to allow for this! Once the setting is enabled, all your production rate's client labels will not be visible.

Pipeline CRM Integration Update

  • You can now choose to have the PDF and notes from the estimate transferred to Pipeline when estimates are accepted or declined (previously only when sent)

Introducing Credit Card Payments Powered by Stripe

You can now:

  • Get upfront deposit payments on the spot — meaning you can attend a potential client site, deliver an estimate, and get paid an upfront deposit all at once.

  • Send payment requests to clients — so that you can request progress payments throughout the duration of a project.

  • Issue automatic follow-ups to clients — structure automated follow-up emails and notifications pursuant to a schedule (as opposed to manually chasing clients when they forget to pay their invoices).

📣 Introducing our latest feature: Invoice Due Dates! Keep your finances organized effortlessly by setting due dates for your invoices.

Here's how it works: After sending the invoice, a due date will automatically be assigned based on the number of days you've specified in your settings.
