What is Zapier?

With Zapier, your PaintScout account can connect with thousands of cloud apps in a two-way integration. Here are a few popular examples:

Connecting PaintScout with Zapier
To connect your PaintScout account with Zapier, you first need a Zapier account.
1. Login to Zapier.
2. Click the App Connections section on the left and then Add Connection.
3. Search for PaintScout Instant or PaintScout. Make sure to select the newest version - i.e. the one with the highest number.
For users with the PaintScout connection, we'd recommend upgrading to PaintScout Instant so you can enjoy much faster zaps with minimal wait time! You'll also find our newest zaps on this Instant connection.
If you have the PaintScout CRM add-on, there are a number of CRM zaps for you to explore! With these zaps, you can:
Create deals in PaintScout automatically from lead forms.
Receive updates as soon as contact or company details change, so you can stay connected and informed.
Send emails to your customers when an event is created in PaintScout.
Stay on top of all tasks so your team never misses a beat.

4. You'll then need to log in to your PaintScout account.
Triggers vs. Actions
Trigger: An event that begins your zap (i.e. something happens in PaintScout that triggers an action in another software).
Action: Events that happen after a trigger, thus completing the zap (i.e. something happens in another software that triggers an action in PaintScout).
What to consider before setting up Zapier:
Do you want PaintScout to be a trigger or an action?
PaintScout will need your user information for the app you choose to connect with (username/email/password). Depending on the application, we may require an “API Key.”

API stands for “application programming interface” and offers a way for different apps to talk to one another. The API’s primary interaction will be through API keys, which allow other apps to access your account without you giving out your password.
PaintScout as the Trigger
If PaintScout is the trigger, you must select from the following options:
1. Select your Trigger Event from PaintScout:
Contact Created: triggers when a contact is created
Quote Status Changed: triggers when a quote status has changed
Invoice Status Changed: triggers when an invoice status has changed
Invoice Additional Work Accepted: triggers when additional work is accepted on an invoice
Quote Additional Work Accepted: triggers when additional work is accepted on a quote
Invoice Sent: triggers when an invoice has been sent, or re-sent
Quote Sent: triggers when a quote has been sent, or re-sent
We will use when Quote Status Changed as an example:
2. Configure your zap trigger.
3. Don't forget to test the trigger.
4. Once your PaintScout trigger is set up, select another software for the action.
5. Configure the action you want to see in the other software.
There are several data fields you can use to populate action events, depending on if those fields require PaintScout data or a value from your selected software.
6. Once satisfied with your setup, test the zap to make sure the connection is functioning as it should.
If the test is successful, you can publish and turn on your zap!
PaintScout as the Action
If you want a certain action to be performed in PaintScout, start by selecting your trigger software.
1. Choose your preferred Trigger app and set up the trigger accordingly.
Depending on which app you select, you will have an option to Configure your zap.
2. Don't forget to test the trigger.
3. Select PaintScout’s Action event. You’ll have two category options - create and search.
Create:
Create Quote
Create Contact
Create Invoice
Update Contact
Update Quote
Search:
Find Quote - finds a quote in PaintScout, or creates one if none are found
Find Contact - finds a contact in PaintScout, or creates one if none are found
Find Invoice - finds an invoice in PaintScout, or creates one if none are found
We will use "Create Contact" as an example:
4. Configure your zap using fields from the trigger software.
5. Once your zap is ready to go, be sure to test the step to make sure the connection is functioning the way it should.
If all goes well, publish and turn on your zap!
