What is Zapier?

Zapier is an online automation tool that allows you to connect your favorite apps together! You can connect two or more apps to automate repetitive tasks without coding or direct integrations. Learn more about how Zapier works here!


Why would I connect Zapier and PaintScout?

To save time, obviously! I'm sure you're tired of double-entry, and endless administrative tasks. Create automated connections for more efficient business processes.


Connecting PaintScout with Zapier

To connect your PaintScout account with Zapier, you first need a Zapier account.

1. Log in to Zapier

2. Click the My Apps section on the right and then Add Connection


3. Search for PaintScout. Make sure to use the newest version (highest number) and select it. You'll then need to log in to your PaintScout account.


Triggers vs. Actions

Using Zapier, you can set up PaintScout as a trigger or action.

  • Trigger: A trigger is an event that begins your Zap (i.e., something happens in PaintScout first, that triggers an action in another software)

  • Action: Actions are events that happen after you trigger, thus completing the zap (i.e., something happens in another software that triggers an action in PaintScout)

What you’ll need to consider before setting Zapier up:

  • Do you want PaintScout to be a trigger?

  • Or would you like PaintScout to be the action?

  • PaintScout will need your user information for the selected app you choose to connect with PaintScout (username/email/password). Depending on the application, we may require an “API Key.”

What is an API Key? API stands for “application programming interface.” API is a way for different apps to talk to one another. The API’s primary interaction will be through API keys, which allow other apps to access your account without you giving out your password.


PaintScout as the Trigger

If PaintScout is the Trigger, you must decide from the following options:

1. Select your Trigger Event for PaintScout:

  • Contact Created (triggers when a contact is created)

  • Quote Status Changed (triggers when a quote status has changed)

  • Invoice Status Changed (triggers when an invoice status has changed)

  • Invoice Additional Work Accepted (triggers when additional work is accepted on an invoice)

  • Quote Additional Work Accepted (triggers when additional work is accepted on a quote)

  • Invoice Sent (triggers when an invoice has been sent, or re-sent)

  • Quote Sent (triggers when a quote has been sent, or re-sent)

  • Quote Tag Added (triggers when a specific tag has been added to a quote)

  • Quote Tag Removed (triggers when a specific tag has been removed from a quote)

  • Invoice Tag Added (triggers when a specific tag has been added to an invoice)

  • Invoice Tag Removed (triggers when a specific tag has been removed from an invoice)

We will use when Quote Status Changed as an example:

Once your PaintScout Trigger is set up, you can select another software as the action.

**Here are the data fields you can use to populate action events: (depending on if those fields require PaintScout data or a value from your selected software)



PaintScout as the Action

Once you’ve decided on the triggered app, you can then select PaintScout as the action app. Select PaintScout’s action event. You’ll have two options of what you can do, create and search:

1. CREATE

  • Create Quote

  • Create Contact

  • Create Invoice

  • Update Contact

  • Update Quote

2. SEARCH

  • Find a Quote (finds a quote in PaintScout optionally, create one if none are found)

  • Find a Contact (finds a contact in PaintScout optionally, create one if none are found)

  • Find Invoice (finds an invoice in PaintScout optionally, create one if none are found)


Once you’ve chosen what action or trigger needs to be completed and the Zap is ready to turn on, we’ll “test and review” to make sure the connection is functioning how it should. If the test is successful then you can turn on your zap!
