The difference between a Sales, Admin, Crew, and View Only user in PaintScout

PaintScout offers a range of user designations to ensure that each team member has access to the right information and tools. With our user designations, you can control what data your team can access and keep everyone in the loop with convenient email notifications.

Admin User:

Admin users have full access to all aspects of PaintScout. This designation is commonly used by owners and managers who require comprehensive control over the system to ensure smooth operations.

Here's what Admin Users can do:

  • Access all users' estimates, allowing for seamless collaboration and oversight.

  • Edit any Account Settings that impact all users' accounts, enabling them to make necessary changes for company-wide configurations.

Sales User:

Sales users, often estimators or salespeople, are assigned this designation. Their access is focused on their own estimates and metrics, allowing them to track their performance and concentrate on their vital role of selling bids!

Here's what Sales Users can do:

  • Access and manage their own estimates exclusively.

  • Edit rates, area labels, line items, terms, and more on their individual estimates.

  • They cannot modify options/features within the Account Settings, export information, or access reports.

Crew User:

Crew users, designed for project managers, crew leaders, and painters, have a limited permission designation that grants them access to specific information regarding the project.

Here's what Crew Users can do:

  • View estimates and work orders specifically shared with them, providing them with relevant project information.

  • Add additional work using pre-created options, allowing for upselling opportunities while maintaining control over choices.

  • Create invoices, although they won't be able to send invoices or estimates to customers directly. This ensures that you maintain communication control with your valued clients.

  • Ability to receive payments on-site.

View-Only User:

View-Only users have restricted permissions, offering your office staff the ability to access essential information for reviewing work orders, invoices, and customer details.

Here's what View-Only Users can do:

  • View estimates from all users, ensuring a comprehensive overview of the project landscape.

  • Send invoices and estimates without the ability to create them, streamlining communication processes.

  • Ability to create additional work, facilitating the inclusion of extra tasks when necessary.

  • Pull reporting for efficient analysis and reporting purposes.

  • Adding new contacts into the system.

  • Receive notifications when estimates are accepted, declined etc.
