Have you ever wondered about all the options in the dropdown beside the Send button? We've got you covered with this comprehensive guide that will walk you through all the available options!
1. Preview/Accept
This function allows you to view the quote from your customer's point of view. It's also a handy tool for onsite presentations, giving you the confidence to close the job on the spot!
2. Share with Staff
Click this button to directly share the estimate with your team. This function is perfect for sharing estimate information with more limited permission users. Crew and Sales users have access only to their own estimates or those shared with them. Once selected, a pop-up with Crew and Sales users will appear, and when you choose a recipient, they'll receive an email notification (depending on their settings) and the estimate will become visible in their estimates tab.
3. Create Invoice
Save time and streamline your workflow by clicking on this option to automatically generate an invoice from the quote. You will then be able to easily reference the associated invoice directly from the estimate.
4. Save as Template
If you've created an estimate that you'd like to replicate in the future, we've got you covered. Just select the Save as Template button. You can then customize the template as needed by removing personal details before saving.
5. Copy Estimate Link
Need to share the estimate with your customer or team? We've made it easy. Simply select this option to generate a custom URL. If you want to track the viewing activity of the recipient, go for the tracking link or share the preview link with your team internally.
6. Copy Work Order Link
Generate a custom URL to share the work order with your team. Whether it's through email, text, or your favorite communication method, this feature keeps everyone in the loop. The URL is a live link, so any changes will be reflected in real-time!
7. Download Estimate & Download Work Order
Click on either option to initiate a download of the estimate to work order in PDF format.
8. Copy Estimate
Select this option to create an exact copy of the estimate. You can then make adjustments and use it for a future proposal.
9. Archive Estimate
If you need to archive an estimate click this option and the estimate will be safely stored away. Archiving acts as a soft delete. You can pull archived estimates into reports and reactivate them if needed making it a great fit if a customer changes their mind, or you simply need to mark the job as complete.
10. Delete Estimate
Made a mistake or no longer need an estimate? Clicking on this option will remove the estimate from your active estimate list. This action is permanent and estimates cannot be recovered.
