# Painter Accounts Beta Guide

Painter Accounts give your field workers a dedicated, focused space to view their assigned jobs and work orders. Whether you have in-house employees or subcontractors, Painter Accounts are built around what your crew actually needs on the job.

## Getting Started <a href="#h_167b38c6db" id="h_167b38c6db"></a>

Painter Accounts work alongside your existing Operations setup. Painters are assigned to jobs through the Production Calendar and Crews — so you'll want to have those set up first.

### Step 1: Join the Beta <a href="#h_f64291ea09" id="h_f64291ea09"></a>

You will need to sign up for the beta to get access to add painter accounts.&#x20;

### Step 2: Add painter seats to your account: <a href="#h_7fa208b3a3" id="h_7fa208b3a3"></a>

1. Go to **Account Settings → Billing → User Management**
2. Click **+ Add User**
3. Enter their name and email
4. Select their role — **Painter (employee)** or **Painter (subcontractor)**. This sets their default permissions, but you can adjust them at any time.

### Step 3: Check their permissions <a href="#h_e64e26a8e0" id="h_e64e26a8e0"></a>

Once you have added a painter user, be sure to check they have the access you want them to have.

Regardless of permissions, painters always have access to the **deal name** and **job address.**

### Step 4: Add Painters to Crews <a href="#h_4ddeed9b5b" id="h_4ddeed9b5b"></a>

**Once you've added a Painter, make sure to add them to a crew** so their jobs show up on their schedule.

1. Go to **Account Settings → Billing → User Management → Crews**
2. Open the relevant crew, and add them in the **Crew Members** field.

## What do my painters see? <a href="#h_fbd85ec631" id="h_fbd85ec631"></a>

<summary>Schedule &#x26; Timeline View<br>​<br>Painter Accounts are built around a simple timeline view. Painters can see <strong>last week, this week,</strong> and <strong>next week</strong>. When they're assigned to a job, it appears on their schedule automatically and they receive an email notification.</summary>

<summary>Work Orders<br>​<br>Each job has a built-in work order so painters always know what's expected on site.</summary>

A few things to know:

* The work order from the **invoice** is used by default
* If no invoice exists yet, the **estimate** work order is shown — and automatically swaps to the invoice version once one is created
* Work orders are always shown in **area view**
* Invoice number, date, and status are removed — painters only see what's relevant to doing the job

<summary>Additional Work<br>​<br>If this permission is enabled, painters can add additional work directly from the job — great for on-site upselling or scope changes.</summary>

They have two options when adding additional work:

* **Preset list** — items from the original estimate or invoice the customer didn't approve, ready to add for approval
* **Custom item** — create a new custom line item (custom areas not supported for this initial beta release)

* Other users can also assign tasks directly to a painter from the deal.
* Painter can see all notes, tasks, and files on the deal

<summary>Notifications<br>​<br>Painters receive automatic email notifications to keep them in the loop. They can toggle these on or off themselves.</summary>

The notifications are:

* **Job assigned** — when a job is added to their schedule
* **Job updated** — when the date of a job changes
* **Job cancelled** — when a job is deleted

One notification is always on and **cannot be turned off**:

* **Job re-assigned** — when a job is moved to another crew or painter\

<summary>I added my painters to crews, but the jobs aren't showing in their account</summary>

Crew members are set at the time a job is created

If you update a crew's members in settings, only new jobs created after that change will reflect the updated crew members. Any existing jobs — past, current, or upcoming — will keep the crew members that were assigned at the time the job was created.
