What is a line item, how to create one, and best practices

What is a Line Item?

A line item refers to an element of a project that may or may not have a price associated with it. It functions similarly to a production rate but doesn't rely on dimensions for calculation. To enhance efficiency, it is recommended to create commonly used line items within the Settings instead of manually creating them for each estimate.


How to add a Line Item in the Settings 

1. Click the person icon in the top right and go to your Account Settings > Line Items section.

2. Click the +Add New Line Item button.

3. Label the line item and add a description.



Line Item Pricing

If you want to add a price to your line item you can do so in three different ways.

1. By Hourly Rate

Click the Hourly Rate option and add in your hours. The price will be calculated using the Hourly Rate on the current estimate.

2. By Quantity

To calculate the total price for a line item, follow these steps:

  1. Click on the Quantity option.

  2. Enter the number of units and the corresponding price/unit.

  3. The system will automatically calculate the total price for you.

You can click the +HRS FOR WORK ORDER button to add the total number of hours associated with this line item (will not affect price).

3. Custom

Click the Custom option and add your price. Select the +HRS FOR WORK ORDER button to factor hours into the work order.


Line Item Notes

Click the 'Notes' button and add in a crew or client note. These will be the default notes any time you use this line item on an estimate - you can always change the notes while editing the estimate.

  • Client Note: Appears on the estimate for the customer to see

  • Crew Note: Appears on the work order for your team to see


Line Item Materials

Click the Materials button to add materials to your line item. Please note, that the number of gallons is not calculated automatically, you will need to enter the quantity manually.


Deactivate a Line Item

If you wish to remove a line item from your active list, simply toggle off the Active option for the specific line item. By doing so, the line item will remain accessible in your settings for future reference, but it will no longer appear in the selection list when constructing an estimate. This allows you to declutter your selection options while still retaining the line item information for potential use in another project.


Line Item Organization

When selecting line items on your estimate, they will show up in the same order as they appear in the Settings. We suggest moving the ones you use most often towards the top, so they appear first. This is especially useful when using a tablet/phone.

Click (and hold for a second) the line item you want to move and drag and drop it to where you want it placed. Make sure to click Save once you have finished organizing!
